About the Data and Membership Coordinator Position

Phi Beta Kappa’s national office is seeking a tech-savvy and detail-oriented individual who possesses a strong sense of member service and a passion for data management. The Data and Membership Coordinator is a newly created position reporting to the IT Manager to support the evolution, maintenance, and effective utilization of the Society’s IMIS database and other technology platforms. This is a collaborative role, and the individual in this position will work across departmental lines in service of the Society’s mission.

The Society is launching a multi-year effort that will transform the database, which is currently a repository of member records, into an accessible, accurate, and informative hub used by the Society’s staff and volunteer leaders for diverse set of functions including event management and promotion, fundraising, accounting, and member networking. The Data and Membership Coordinator will be a key player in ensuring the success of this project and in integrating the new capabilities into the work of staff and volunteer leaders across the organization, maintaining the integrity of the database according to best practices, and providing quality service to our membership.

Working closely with the IT Manager, PBK staff, and vendors, the Data and Membership Coordinator will be responsible for serving as the “go-to” resource for users of PBK’s database. This includes planning for improvements and upgrades, developing and documenting best practices to support data quality, training current and future staff, facilitating and promoting use of the database by members and volunteers, as well as the development of new data analytics capabilities across the organization.

The Society’s strategic plan emphasizes our commitment to diversity, equity and inclusion, and the Data and Membership Coordinator will play an important role in furthering these goals, as the Society develops data policies that advance the capacity to offer member engagement resources (such as online affinity groups) aimed at advancing inclusive excellence.

Primary Duties and Responsibilities

  • Management of timelines, schedules, and training for Society staff, facilitating work led by the IT manager and the external consulting team
  • Support of staff in the specific training required to fulfill their diverse roles
  • Recognition and escalation of risks to mitigate issues which may impede project progress
  • Collaboration with staff to identify opportunities for improvement and new database functions to facilitate their work
  • Creation and maintenance of detailed training materials, IMIS and business processes, and other related documentation

Additionally, the Data and Membership Coordinator will

  • Input membership and related data to improve accuracy of database and in a way that serves as a best practice to other staff
  • Implement and facilitate data standards and procedures to ensure high data integrity, including continuously monitoring data for quality control and accuracy
  • Provide training and technical support for staff to ensure data compliance
  • Assist IT Manager in responding to and troubleshooting data-related issues\
  • Regularly communicate with staff to assess data needs
  • Develop data-driven reports and dashboards to assist in the evaluation of member and donor engagement
  • Provide support to members and volunteer leaders seeking assistance, including tickets on our customer support platform, Zendesk


  • At least 1-3 years of demonstrated experience in data management, including ability to build and maintain data quality while troubleshooting procedural and structural inadequacies
  • Previous experience with IMIS (or similar CRM database) and online member support tools strongly preferred
  • Strong technical and intuitive understanding of data entry and collection procedures, as well as the evaluation of data for reporting and analysis
  • Highly organized and detail-oriented with ability to exercise good judgment and drive projects independently
  • Ability to streamline and effectively translate technical procedures to multiple users, including those who are less comfortable with technology
  • Able to learn new technologies quickly with a pragmatic approach to using data and technology
  • Proficient in Microsoft Office Suite or similar software applications
  • Basic knowledge of HTML is a plus
  • Comfortable working effectively and efficiently, both virtually and in-person, independently and part of a team
  • Strong member service orientation with the ability to maintain diplomacy with the Society’s many constituents
  • A bachelor’s degree, with preference for data analytics and/or computer science coursework, or equivalent experience
  • Phi Beta Kappa membership preferred but not required
Anticipated salary is $60,000, depending upon experience. The position is remote with the option to work in person in our Washington, DC office (as COVID allows) and the possibility of occasional travel for meetings to the Research Triangle in North Carolina, where the IT Manager is based.  The position reports to the IT Manager. Full COVID-19 vaccination is required.
