Executive Assistant to the Secretary/CEO

           

The national office of The Phi Beta Kappa Society seeks an executive assistant to the Secretary/CEO. This position is responsible for a wide-range of critical administrative functions, and must effectively provide both strategic guidance and tactical execution on various programs. In addition to providing this administrative support, the Executive Assistant also assists in the Society’s annual awards programs and in development research, follow-up and communication. Phi Beta Kappa maintains a collaborative work environment; the Executive Assistant will have the opportunity to interact with the National Arts and Sciences Initiative, Chapters and Associations, the Visiting Scholars Program, communications, and executive staff. 

Duties and Responsibilities

  • Manages the schedule of the Secretary and makes travel arrangements as necessary
  • Manages logistics, coordination and event planning for key meetings and events, such as quarterly Executive Committee meetings, quarterly Investment Committee Meetings, annual meeting of the Senate, and various staff events
  • Assists Secretary/CEO in managing donor relations and works with development staff in major giving and donor relations;
  • Serves as staff liaison to the Executive Committee, Investment Committee, and Council Nominating Committee.  This includes scheduling, travel arrangements, and note-taking
  • Assists with administrative aspects of seven annual awards, including communicating with selection panels, notifying winners, coordinating announcements with communication staff, and planning awards-related events
  • Coordinates annual Book Awards Dinner celebrating three $10,000 awards for approximately 100 attendees
  • Collaborates with direct mail consultants to coordinate the Secretary’s Circle high level donor program
  • Researches and strategically contacts current and potential donors for meetings with the Secretary
  • Receives and screens telephone calls with exemplary telephone manner.  Manages incoming mail, gifts, and written correspondence
 

Qualifications

  • At least three years of professional experience in similar support functions, preferably in an education or nonprofit setting
  • Excellent interpersonal skills with an emphasis on customer service
  • Detail oriented, excellent organizational skills, highly anticipatory, and intellectually curious
  • Demonstrated ability to work independently and proactively
  • Exceptional written and oral communication abilities
  • BA/BS degree
 
This is a full-time position in the national office of the Phi Beta Kappa Society in Washington, DC.  Compensation will include a salary commensurate with the qualifications of the successful candidate.
